Template or software?

When Excel is enough and when it is not

A good template takes you a long way. At some point, retyping between quote, invoice, bank and books costs more time than software costs money.

A template is enough if

  • you write only a few quotes and invoices per month
  • you are not VAT-registered
  • your business is a sole proprietorship under CHF 500,000 revenue
  • one person handles everything

Saldio pays off if

  • a quote should become a QR invoice without retyping
  • incoming payments should be matched automatically via bank import
  • your VAT return should come with an eMWST export
  • you run a GmbH or AG and need double-entry bookkeeping

Frequently asked questions about the templates

Are the templates really free?
Yes. All templates are free, with no sign-up and no email address. You may use and adapt them freely in your business.
Do the templates work without Microsoft Excel?
Yes. The files are in .xlsx format and work in LibreOffice Calc, Apple Numbers and Google Sheets. The formulas deliberately avoid functions that exist only in some Excel versions.
Are the templates tailored to Switzerland?
Yes: amounts in CHF, rounding to 5 centimes, the VAT rates since 2024 (8.1 %, 2.6 % and 3.8 %) and notes on the Code of Obligations, VAT Act and Labour Act. Each template's guide cites the relevant articles.
Can I create a QR invoice with the invoice template?
The template contains all invoice details and a placeholder for the QR payment part. The Swiss QR code itself is generated by your e-banking or invoicing software such as Saldio, because it contains check digits and structured address data that Excel cannot reliably create.
Is Excel bookkeeping enough for my business?
For sole proprietorships and partnerships with less than CHF 500,000 revenue, an income and expense statement with a statement of financial position is sufficient (Code of Obligations, art. 957 para. 2). GmbH and AG must always use double-entry bookkeeping, where accounting software is the safer route.
Why don't I have to enter an email address?
Because a template is more useful without a hurdle. If you want to hear about new templates and changes to VAT and QR invoices, you can subscribe to the newsletter voluntarily.
